Job Summary

Arshia is looking for a detail-oriented and proactive Administrative Assistant / Purchasing Assistant to support procurement and administrative operations. This role will work closely with the Procurement & Administrative Coordinator to ensure accurate purchasing, proper documentation, and smooth day-to-day coordination. The ideal candidate has strong Excel skills and experience handling both electronic and non-electronic appliances.

Key Responsibilities

  • Prepare and maintain purchase order (PO) lists and track order status
  • Coordinate daily procurement and operational follow-ups with vendors and internal teams
  • Document all communications, updates, and changes related to SKUs and orders
  • Maintain and update vendor records, product categories, and specifications
  • Ensure procurement files (POs, quotations, contracts, delivery notes) are accurate, organized, and audit-ready
  • Support internal audits by ensuring complete and accessible documentation
  • Provide general administrative support to ensure efficient workflow and compliance

Technical Skills Required

  • Strong Microsoft Excel skills (data tracking, reports, accuracy checks)
  • Knowledge of procurement and purchasing processes
  • Familiarity with electronic and non-electronic appliances
  • Experience handling procurement documentation and order tracking

Soft Skills Required

  • Strong communication and coordination skills
